Morrison Hershfield is a multi-disciplinary consulting engineering and management firm with offices located throughout the US and Canada. The Calgary office is looking for a friendly, helpful, customer service oriented front desk administrator to provide administrative assistance to the Calgary office, in addition to general reception duties.


The focus of this position will be to provide administrative, office, and front desk support to help increase the productivity of the technical and operational staff.

Administration Responsibilities

  • Create, format, and produce professional documentation and correspondence, including labels, transmittals, spreadsheets, etc. utilizing Microsoft Office programs
  • Provide administrative support to business units for proposals, documents and other associated tasks
  • Provide file clerk administration duties and office organization
  • Manage office floor plans with the use of Visual Access database reporting on occupancy and vacancy rates
  • Assist Office Facilities Coordinator with credit card and petty cash reconciliation, invoicing, and other administrative tasks
  • Assist with IT troubleshooting and setting up office workstations under guidance and support from IT team and Office Facilities Coordinator
  • Contribute to a positive office culture through participation on the Social Committee and coordinating gifts and cards for employee milestones (weddings, birth, or bereavement, etc.)
  • Assist with office related payables and liaising with accounting
  • Assist with providing office with general communications and updates on the MH Knowledge Portal
  • Contribute to other administrative duties as required

Reception / Front Desk Responsibilities

  • Screen and transfer incoming calls/general office correspondence in a prompt and professional manner
  • Develop a basic understanding of the office's services and clients to facilitate the front-line discussions with office guests and callers
  • Coordinate courier pickups and deliveries
  • Perform general maintenance / housekeeping of common areas (kitchen, conference rooms, storage rooms)
  • Take ownership for travel coordination for the local office staff including arranging flights, hotels and rental cars in conjunction with the Corporate Travel Coordinator
  • Order and arrange building service requests as required and liaise with the property management company regularly
  • Coordinate monthly office supply orders
  • Assist with managing security access for employees and external users, and liaising with the building management for parkade and external access
  • Assist with coordination of office-wide luncheons / catered events, training sessions, etc.


  • Minimum 3 years of administrative and/or front desk administration experience
  • Strong customer-focused attitude toward both clients and staff, attention to detail and organizational skills
  • Advanced MS Word capabilities
  • Proficiency in Excel, PowerPoint and other Microsoft Office Suite programs
  • Outstanding English language skills (including writing, proofreading and editing)
  • Experience working with InDesign or other Adobe programs would be an asset
  • Strong sense of professionalism, tact and confidentiality
  • Ability to work in a high-paced consulting engineering environment
  • Ability to problem-solve and prioritize work
