Overview

The Administrative and Business Development Assistant role requires someone who can meet the full range of administrative and business development support requirements including a high-level of customer service, internally and externally and the ability to be flexible with changing requirements and deadlines. The position requires someone with the proven ability to initiate and execute various tasks with minimal direction within tight timeframes.

The successful candidate will be a proven self-starter who is familiar with RFP, RFQ, EOI processes and can coordinate the overall presentation (including graphics), content (technical content to be contributed by others) and business aspects of proposals for engineering disciplines. To ensure success in this position the incumbent will be organized, able to meet critical deadlines, engage others as required and adhere to quality standards.

The Administrative and Business Development Assistant is expected to liaise with clients, sub-consultants and internal team members in a professional manner to support all levels of relationships.

Responsibilities

  • Provide administrative support, including but not limited to: prepare and edit Word, Excel and other documents, print, bind, file and other duties that may arise
  • Coordinate, prepare, edit and/or proofread documents such as correspondence, proposals, presentations, and reports using various software
  • Perform and deliver under tight schedules and changing priorities
  • Coordinate with other internal team members to complete administrative tasks
  • Coordinate meetings, conference calls, video conferences, Skype meetings, etc
  • Organize meeting materials and take minutes
  • Responsible for finalizing, print, collate and prepare master proposal document, compiling resumes and other supplemental materials for delivery to client
  • Responsible for the successful adherence to the Quality Assurance process to ensure content is edited and finalized such that each and every client RFP requirement is thoroughly answered to ensure evaluation scoring is maximized
  • Collaborate with Business Development team to execute marketing plan activities
  • Work with Business Development team to continuously develop and improve database of marketing collateral
  • Contribute to the research and information gathering for key clients, as needed when needed
  • Responsible for adherence to a consistent MH brand image, and holding our product to a high standard

Qualifications

  • Post-secondary education in business administration, communications, or similar field
  • Strong English language skills in both verbal and written communication 
  • Strong attention to detail including ability to proofread and edit material
  • A versatile individual with advanced formatting skills using various software including Microsoft Office, Word, PowerPoint, Excel and Outlook, InDesign (or other graphic software knowledge) is desirable
  • The ability to work well in a team environment, a strong sense of professionalism, tact and confidentiality
  • Excellent interpersonal skills, superior organizational and time-management skills and the ability to multi-task, take initiative and work with minimal supervision
  • Flexibility to adapt to changing priorities and direction in a very dynamic work environment
  • Excellent time management and organizational skills
  • Confidence in interacting with all levels of management and internal and external clients
  • Availability to work overtime on an as needed basis
  • Ability to gather information from a variety of sources and assemble together into a professional document
  • Previous experience in a consulting engineering environment considered an asset
